You have promised your friends that special get together or your boss just dropped the companies gathering plan on your shoulder and asked you to plan that industry event. What do you do now?

Event planning has been a passion for many individuals with exciting taste. Event planners are extremely creative and they work either as an individual or they have assigned a professional event planning firm. They can manage every size event from a simple birthday celebration to a very important and formal industry company event. But what is the secret of a successful event planner?

1-Evaluate the extent of the event.

No matter the size of the event, evaluating the extensiveness of the event is the first basic rule of event planning. This step will provide enough planning foundation, which lead to set a scheduled deadline to start planning.

2- Communicate the need.

A professional event planner is a perfect communicator. The event organizer has a vision of what this event is about. It is the job of an event planner to fully communicate the details, needs and concept of the event with the organizer.

3- Communicate the budget.

The organizer might have a big vision of the concept but it is important to communicate what budget is assigned for the event to prepare for it and make that vision into a reality.

4- Brainstorming on the whiteboard.

This stage is all about throwing ideas left and right and write everything on a Think Tank white board. It is at the brainstorming stage that the final idea blossoms. Without scratching the other idea on the white board, focus on this blossomed highlight and give it extensions.

5- Take a list.

Now that you have written the core idea and have given it more focus, it is time to turn it into a list of inquiries from start to finish. Every detail is important to consider at this stage including unseen and unpredictable.

6- Put together a crew.

Depending on the size of the list you have created, as a event and party planner, you might need to put together a professional crew to help you side by side to get the list prepared.

7- Have a communication meeting.

Have a starter meeting with your crew to talk about the core idea of the event and what you have focused on as an idea. Give it full detail and bring excitement to your speech to align them with your energy. Ask everyone in the crew to communicate if they haven’t fully understood your details. It is important for the success of the planning that every member in your service crew comprehend the concept and be in full communication with one another and be in full agreement to everything that was discussed.

8- Give every individual an assignment.

Now that everyone is on board, it is time to meet with every member of the crew separately and provide their assignment with scheduled deadline.

9- Follow up and monitor.

As an event planner, you are the ambassador of the event organizer and need to create the vision given to you. So be everywhere and follow up with every crew members and monitor their progress, directing them into a perfect route.

10- Be there to organize.

At the final stages, go through every detail once more with every crew member, making sure everyone is in full control and have satisfied their task and assignment. Prepare for the event to start and follow every step as rehearsed.
