If you are too vague on numbers you could end up overspending or worse, have people go hungry. Once the chef has the numbers they need to know the type of event and any themes involved, this will determine the type of service and the potential choices of menu. The final detail that needs to be discussed is the location. The chef will need to know what the setup at the venue is, from equipment to space and staff as it may be necessary to hire additional equipment and personnel. Once all of this has been decided you should be well on the way to having your event fully catered.

It is also important to note where the chef is based. The more local they are the better, as they can get fresher and tastier food.
